What is in your head cannot be delegated. Knowledge that never left your head for a page cannot be taken from you by anyone, however diligent they are and however often you explained — which is why an owner is asked ten times a day about things their team knows.

But the course opens with a warning rather than a method: documenting does not improve a bad procedure, it makes it repeatable. If your way of doing something is broken, writing it down gives you five people breaking it consistently instead of one. So the order is: fix, then write — and the simplest test is that while writing the steps you will find one whose reason you cannot write.

Then it does what most documentation advice skips: authority. A written procedure alone changes nothing, because whoever knows the steps but cannot decide at the first departure from them will stop and ask — and you are back where you started. So the course pairs every procedure with a decision limit, and ends with the only check that cannot be dressed up: being away.

Do I need software for this?

No, and lesson one says plainly that I will not ask you to buy anything or use any particular program. Everything in the course runs in a text file or a notebook. Lesson three sets three conditions for where procedures live — one place, opening from where the work happens, and needing no permission each time — and the medium matters far less than it being one. A folder of text files is enough, and so is a notebook in the shop if that is the shape of the work.

I tried documenting before and it stopped after two weeks.

That is the expected outcome of “let us document everything”, and lesson two is written against it: comprehensive documentation is a project with no end that starts with enthusiasm and stops in the third week. The course caps the first batch at five procedures, chosen by two axes — how often it repeats and what it costs if done wrong — and then tells you to stop and use them for a month before writing more. And the five are not chosen by your judgement: record every question your team asks you for a week, order them by frequency, and the top four are your first four. The fifth comes from the overlooked cell: rare and costly.

I wrote procedures and they still ask me about everything.

Because a procedure without authority is not delegation — it is assigning execution while keeping the decision. Whoever knows the steps but cannot decide at the first departure from what is written will stop and ask, and you are back where you started. Lesson four gives three degrees of decision, a written money limit, and a one-page authority table, then names the four reasons decisions come back to you — three of which are yours: the limit is unwritten, you overruled them once in front of others, blame makes asking cheaper than deciding, or they lack the information they would decide with.

How is it different from the project management course?

A project has a beginning and an end; this course is about repeated work that never ends. That boundary is drawn in lesson one and kept throughout. Three other products are named and left alone: automation is the “Automating Your Business with AI” book — and the order matters, since you do not automate a procedure you have not yet written; technical permissions are the “Protecting Your Business Accounts” course, while this is about the authority to decide rather than the permission to log in; and what your procedures may hold of people’s data is the “Personal Data Protection” book.

Does it cover employment contracts and what I can require of staff?

No, and it says so in lesson one rather than in a closing footnote. I am an engineer, not a lawyer: employment contracts, employees’ duties and the limits of their liability go to your lawyer, and spending limits, signing authority and accounting responsibility go to your accountant — and both deferrals are repeated by name in the lessons where they arise. What I know is how work and decisions are transferred, not what the law requires. The course also cites no figure for the money limit, because that amount belongs to your business and suggesting one here would become a reference copied without context.
